You pick their trade and send a link. That choice decides which documents they are asked for.
There is no account, and nothing to install for your subcontractors. We've made it as easy as possible for them, and that is why the paperwork comes back.
Where your data sits.
This holds bank details, tax references and vetting decisions. Here is exactly how each of those is handled.
- Document storage
- Documents sit in private storage. Opening one creates a link that only works for you and stops working after a few minutes. Nothing is on a public address.
- Access control
- Ten areas of the product, each set to Edit, View or Hidden per role, and changeable per person. Blocked on the server, not just hidden on screen.
- Audit trail
- Every status change, upload, permission change, rating override and bank edit is recorded with who did it and when. When a client asks you to prove a decision, it is already written down.
- Sign-in controls
- Optionally limit staff to one device and lock access to your own country. Any sign-in from outside it alerts every admin, with the country, address and device.

Can we set our own standards?
That's the point of it. You choose which documents each trade must produce, which are non-negotiable, and how much compliance, performance, finances and communication count in the score.
Can it carry our branding instead of SubbyFlow's?
Yes, that's in the white-label option. It can be fully customised with your logo, your colours, your own domain, so everything your subcontractors see is yours. The standard version is quicker to set up and where most people start.
How many people can we bring in?
As many as you need. You set what each person can reach, so your finance people can own the bank and tax details without your site team ever seeing them.
What about the subcontractors we already use?
They go through the same way and join the register with everyone else. There is no separate migration to worry about.
